ACCOMMODATION

Change of booking and cancellation

All reservations are subject to the individual hotel cancellation policies as stated in the hotel information on the website. Any cancellation or change to a reservation must be made in writing to the Meeting Secretariat and not
directly to the hotel.

How to book accommodation

Please indicate your accommodation requirements when registering. As there is limited space available at each hotel, it is important that you book early. Accommodation will be allocated strictly in order of receipt of registration and
credit card guarantee.

Booking deadlines

The meeting hotels impose strict block booking release dates of 30 days prior to arrival; therefore, any bookings made after 14 August 2020 will be subject to
availability. We strongly suggest you book accommodation prior to this date.

Credit card guarantee

Credit card details are required as a guarantee for your accommodation booking; these details will be provided to the selected hotel. The credit card is not charged and is used as a security deposit only. The final account must
be settled on check-out direct with the accommodation venue. A tax invoice/receipt will be issued at that time.

Payment of accommodation

The accommodation account and any incidental charges must be paid in full, directly to the hotel, on departure.

Early or late arrival

Check in time for the meeting hotels is from 15.00. Please advise the Meeting Secretariat in writing if you will be arriving before this time as you may be required to book the previous night to guarantee immediate access to your room. Please also advise the Meeting Secretariat in writing if you will arrive at your hotel after 18.00, to avoid your room being released.

Trade Exhibition

The trade exhibition will be an integral component of the ASM. This is a great opportunity for delegates to meet with trade representatives from the leading
companies that provide products and services to the fields of obstetrics and gynaecology and find out about the latest developments and trends designed to assist practitioners.

To acknowledge the importance of the exhibition, the meeting program has been structured to ensure delegates have ample time to visit the trade area. Daily morning, afternoon teas (if applicable) and lunches will be held in this area.

Dress Code

Please note that the dress standard for the meeting will be smart casual.

Insurance

Delegates are strongly advised to secure appropriate travel and health insurance. Delegate registration fees do not provide any such insurance coverage. The Organising Committee, RANZCOG and the Meeting Secretariat
accept no responsibility for any loss in this regard.

Liability Disclaimer

In case of industrial disruption, the Organising Committee, RANZCOG and the Meeting Secretariat accept no responsibility for loss of monies incurred by delegates.

Privacy Statement

Information provided on the registration form will be used to administer the Meeting including accommodation, catering, transport, sponsorship and exhibition. Data obtained will remain the property of RANZCOG and The Production House Events.

Visa Information (International Only)

With the exception of New Zealand citizens travelling on New Zealand passports, all foreign nationals must obtain a visa/ETA before travelling to Australia. New Zealand citizens are issued with a visa on arrival in Australia. For information about visa applications to enter Australia, please visit: www.homeaffairs.gov.au/Trav. Please note that visa processing times may vary. Delegates are encouraged to apply for the appropriate visa six to eight weeks before departure to Australia.

Importantly, it is the policy of the Meeting Secretariat not to supply an ‘invitation letter’ to unpaid or unregistered delegates as it is not required and does not assist in the visa-application process. Upon payment of registration
fees, each delegate receives a confirmation letter of acceptance of registration and receipt of payment.

REGISTRATION CONFIRMATION

All registrations will be acknowledged via an official confirmation email (where available) upon receipt of full payment.

Full Registration includes:

  • Attendance at all meeting sessions (Monday to Wednesday)
  • Trade exhibition admission
  • Morning and afternoon teas (if applicable) and lunches for the duration of the meeting
  • New Fellows & Awards Ceremony Presentation and Reception
  • Welcome Reception
  • Satchel containing the Program Handbook Please note tickets to the Meeting Dinner are an additional cost.

Day Registration includes:

  • Attendance at all meeting sessions on day of attendance
    (Monday, Tuesday or Wednesday)
  • Trade exhibition admission on day of attendance
  • Morning and afternoon tea (if applicable), and lunch on day of attendance
  • Satchel containing the Program Handbook Please note tickets to the Presentation Ceremony and Meeting Dinner are an additional cost.

CANCELLATION POLICY

Registration cancellations will not be accepted unless made in writing to the Meeting Secretariat.

  • On or before 19 June 2020: 100% refund less an administration
    fee of $110 including GST
  • On or before 31 July 2020: 75% refund less an administration
    fee of $110 including GST
  • On or before 12 August 2020: 50% refund less an administration
    fee of $110 including GST

After 12 August 2019: No refund available

No refund will be paid following failure to attend without Notice.
Where there are extenuating circumstances, a full refund of the registration fee may be considered by and at the discretion of the Organising Committee.
Credit card surcharges will not be refunded under any circumstances.

Diplomates Day Registration includes:

  • Morning, afternoon tea and lunch on day of attendance
  • Diplomates Cocktail Reception – Saturday

Workshop Attendance includes:

  • Attendance at nominated Workshop
  • Catering (as specified)

Satellite Meeting registration includes:

  • Attendance at nominated Workshop
  • Catering (as specified)

PAYMENT

All prices are in Australian dollars and include GST.
Payment must accompany your registration.
Meeting registration cannot be confirmed until payment is received. Please also note that accommodation cannot be confirmed until credit card details are received by the Meeting Secretariat.

Credit Card

MasterCard, Visa and American Express are accepted.
Please note that PCO Production House will appear on your credit card statement.
A credit card surcharge of 1.75% is applicable to VISA / Mastercard.
A credit card surcharge of 2.25% is applicable to AMEX.
International credit cards are subject to a flat 4% credit card surcharge.
Credit card surcharges will not be refunded under any circumstances.

Cheque & EFT Payments

Payment by Cheque or EFT is not accepted.
